1. Who we are
Kaisync Technologies Pvt Ltd is a private limited company registered in India, operating from Pune, Maharashtra. Our founder and director is Krishna K Pandey. For all data-related matters, you can reach us at [email protected] or +91 83800 01029.
For the purposes of the DPDP Act, Kaisync acts as the Data Fiduciary for personal data you provide directly to us through our website.
2. What data we collect
We collect data in two ways: information you actively provide through our contact form, and aggregate analytics gathered automatically when you visit the site (described in detail in Section 7).
Contact form submissions
When you submit our contact form, we collect:
- Your name (required)
- Your email address (required)
- Service category you're interested in (optional)
- Project details you choose to share (optional)
Analytics data (Google Analytics 4)
When you browse kaisync.co, Google Analytics 4 records aggregate, mostly-anonymous information: the pages you visit, your approximate location (country/city, derived from a truncated IP address), your browser and device type, how you arrived at the site (referrer), and how long you stayed. We use this only to understand which pages are useful and improve the site. See Section 7 for full details, including opt-out.
Server logs (automatic)
Our hosting provider, Cloudflare, automatically records standard web server information: your IP address (anonymised at the edge), browser type, the page you requested, and timestamp. This is used solely for security, traffic analysis, and abuse prevention.
What we do not collect
- We do not request your government ID, financial details, or sensitive personal data on this website.
- We do not use advertising pixels (Facebook Pixel, LinkedIn Insight Tag, Google Ads remarketing, etc.) or cross-site behavioural advertising networks.
- We do not sell, rent, or trade your personal data — ever.
3. Why we collect it
We use the data you submit only to:
- Respond to your enquiry and discuss the project you've described
- Send you a proposal, scope document, or follow-up communication you've requested
- Provide ongoing client service if we engage in a contract
- Comply with our legal and tax obligations as an Indian company
We will not use your information for any other purpose without your separate, explicit consent.
4. Legal basis for processing
We process your personal data on the following lawful grounds under the DPDP Act 2023:
- Consent — by submitting the contact form, you provide informed, specific, free, and unambiguous consent for us to contact you about your project
- Legitimate use — for fulfilling the purpose for which you voluntarily provided the data (responding to your enquiry)
- Compliance — where processing is required by applicable Indian law
5. How we share data
We do not sell or rent your personal data. We may share it only in the following limited circumstances:
- Email service provider: contact form submissions arrive at our company email hosted by GoDaddy / Microsoft Workspace. They process your data on our behalf as a Data Processor under contractual obligations.
- Hosting provider: Cloudflare (San Francisco, USA) hosts kaisync.co and handles server logs as described in Section 2.
- Analytics provider: Google Analytics 4 (Google LLC, USA) processes aggregate site-usage data as described in Section 7. Subject to Google's data processing terms and the EU Standard Contractual Clauses.
- Form backend: contact form submissions are relayed by Web3Forms, which forwards them to our company email and does not retain the content of your message. Only the fields you fill in (name, email, selected service, message) plus the page URL and the timestamp of your consent are transmitted.
- Legal requirement: we may disclose data if required by a valid Indian court order, regulator request, or applicable law.
We do not transfer your data to countries that have been notified by the Government of India as restricted under the DPDP Act.
6. Where data is stored & how long
Contact form submissions are stored in our company email system (hosted by GoDaddy / Microsoft Workspace, with EU and India regional storage options). Server logs are kept at Cloudflare's global edge for a maximum of 30 days before automatic deletion.
We retain your enquiry data for up to 3 years from your last interaction with us, after which it is deleted or anonymised. If we enter into a formal client engagement, contractual records are retained for the period required by Indian tax and corporate law (typically 7 years).
You may request deletion at any time — see Section 8.
7. Cookies & analytics
kaisync.co uses Google Analytics 4 (measurement ID G-XEBYEL41C6) to understand aggregate site usage. We do not use advertising pixels, remarketing tags, Facebook Pixel, LinkedIn Insight Tag, or any cross-site advertising networks.
Analytics is off until you say yes
No analytics cookie is set unless you accept. We use Google Consent Mode v2. Every tracking and advertising storage type — analytics_storage, ad_storage, ad_user_data and ad_personalization — defaults to denied; only functionality_storage and security_storage default to granted, and neither sets a cookie on this site. On your first visit a banner asks you to Accept or Decline; Analytics is only enabled if you press Accept, and your choice is remembered in your browser's local storage (key ks_consent) — not in a cookie, and never sent to us.
If your browser or extension sends a Global Privacy Control signal, or has Do Not Track enabled, we treat that as a standing refusal: Analytics stays disabled and we do not show you the banner at all.
If you Decline — or send a GPC/DNT signal — we also expire any Google Analytics cookies already stored in your browser (_ga, _ga_XEBYEL41C6 and any _gid/_gat cookies), including ones set on a visit before this banner existed. Declining does not merely stop new cookies; it removes the old ones.
Cookies set by Google Analytics
If — and only if — you accept, Google Analytics sets the following first-party cookies in your browser:
_ga— a randomly generated identifier used to distinguish unique visitors. Expires in 1 year._ga_XEBYEL41C6— a session-state cookie tied to our specific GA4 property. Expires in 1 year.
These cookies do not contain your name, email address, or any directly identifying information you've shared with us.
What Google Analytics collects
- Pages you view on kaisync.co and the order you view them in
- Approximate geographic location (country, region, city) derived from your truncated IP address
- Browser type, operating system, screen size, and device category (mobile/desktop)
- How you arrived at the site (referring URL, search keyword if available, campaign source)
- Session duration and rough interaction events
Google Analytics 4 anonymises IP addresses by default — your IP is truncated before it is stored, and this cannot be disabled. We have not enabled Google Signals (cross-device tracking via Google account) or advertising features. Data is processed by Google LLC in the United States; this transfer is governed by the EU Standard Contractual Clauses and Google's data processing terms.
How to opt out
You have several ways to prevent Google Analytics from collecting data about your visits:
- Press Decline on the cookie banner, or use the "Change my cookie choice" button above — Analytics stays off
- Enable your browser's Global Privacy Control or Do Not Track setting — we detect both and will not enable Analytics
- Install the Google Analytics Opt-out Browser Add-on (Chrome, Firefox, Safari, Edge)
- Use private/incognito browsing mode
- Block third-party scripts using extensions like uBlock Origin or Privacy Badger
- Clear or block cookies in your browser settings (the
_gaand_ga_XEBYEL41C6cookies will be deleted)
Cloudflare, our host, may also collect aggregate server-side metrics (described in Section 6). These are cookieless and cannot be opted out of via the methods above.
If we add any new tracking tool in the future, we will update this policy and note the change on the "Last updated" date.
8. Your rights as a Data Principal
Under the DPDP Act 2023, you have the following rights with respect to your personal data:
- Right to access: request a copy of the personal data we hold about you
- Right to correction: ask us to correct inaccurate or incomplete information
- Right to erasure: request that we delete your personal data (subject to legal retention requirements)
- Right to withdraw consent: revoke previously given consent at any time, without affecting the lawfulness of past processing
- Right to grievance redressal: escalate any complaint about our data practices
- Right to nominate: appoint another individual to exercise your rights in the event of your incapacity or death
To exercise any of these rights, email us at [email protected] with the subject line "Data Request". We will respond within 30 days. We may verify your identity before fulfilling requests to prevent unauthorised disclosure.
If you are not satisfied with our response, you may lodge a complaint with the Data Protection Board of India.
9. Security
We protect your data using industry-standard safeguards:
- HTTPS encryption (Cloudflare Edge Certificate, TLS 1.3) for all traffic to and from kaisync.co
- Access controls on our email and storage systems — only authorised Kaisync personnel can access enquiry data
- Regular software updates and patches
- Secure deletion when retention periods expire
No system is 100% impenetrable. In the unlikely event of a personal data breach affecting you, we will notify you and the Data Protection Board of India within the timeframes required by the DPDP Act.
10. Children's data
Kaisync's services are intended for businesses and adult professionals. We do not knowingly collect personal data from individuals under 18. If you believe a child has submitted personal data to us, please contact us immediately at [email protected] and we will delete it.
11. Changes to this policy
We may update this Privacy Policy from time to time to reflect changes in our practices or for legal, operational, or regulatory reasons. The "Last updated" date at the top of this page indicates when the policy was most recently revised. Material changes will be highlighted at the top of this page for at least 30 days.
